Example

Example: a decorator’s invoice at 20 % VAT, with one shop receipt taken apart

A VAT-registered decorator invoices a customer for two days’ work and the materials. Rate: Standard rate (20 %), prices Before VAT — add it, rounding To the nearest penny. The paint was bought in a shop for £24.99 including VAT, so that line says incl.

  1. Typed one per line: Labour (day rate) 220 x 2, Brackets 6.75 x 8, Paint 24.99 incl, Wall plugs 3.49 x 3.
  2. x 2, x 8 and x 3 multiply the price. incl makes that one line a price with VAT in it, so £24.99 splits into £20.82 net and £4.17 VAT, a sixth of it.
  3. The total works the VAT out once per group, as an invoice does: 20 % of the £504.47 added before VAT is £100.89, plus the £4.17 inside the paint.
Line Net VAT 20 % Gross
Labour (day rate) 220 x 2 £440.00£88.00£528.00
Brackets 6.75 x 8 £54.00£10.80£64.80
Paint 24.99 incl £20.82£4.17£24.99
Wall plugs 3.49 x 3 £10.47£2.09£12.56
Total £525.29£105.06£630.35

The invoice reads £525.29 net, £105.06 VAT and £630.35 to pay. Here the line-by-line VAT adds up to the same £105.06; with many small prices including VAT it can be a penny or two out, and the page then says so under the total.

How it works

  1. Type or paste prices, one per line. A word before the price ("Coffee 3.20") is fine.
  2. Choose the rate, and whether the prices are before VAT or include it.
  3. A line can say otherwise for itself: "5%" for another rate, "incl" or "net", or "x 4" for a quantity.
  4. Each line shows net, VAT and gross, and the total below adds them up.

Frequently asked questions

Why is the VAT in the total not the sum of the lines?
Because an invoice works out VAT once per rate on the total, not line by line, and the rounding of many small amounts can differ by a penny or two. The total here does the same, and says so when the two differ.
How do I take VAT out of a price?
Choose "Including VAT", or add "incl" to the line. At 20 %, the VAT in a price is a sixth of it: £120 is £100 net and £20 VAT.
Can I use another country’s rate?
Yes: choose Another rate and type it (19, 21, 8.1…), or put the rate on the line itself, such as "100 19%". The German, French, Spanish, Italian and Japanese pages start from their own country’s rates.
How do I work out 5 % VAT on a gas or electricity bill?
Choose Reduced rate (5 %), or put 5% on the line. For a bill of £87.36 including VAT, type 87.36 incl 5%: it shows £83.20 net and £4.16 VAT. At 5 % the VAT is a twenty-first of a price that includes it, as at 20 % it is a sixth.
Can one list mix 20 % and 5 %?
Yes: give the lines that differ their own rate. “Car seat 89.99 incl 5%” and “Pushchair 249.00 incl” give £85.70 net + £4.29 VAT and £207.50 net + £41.50 VAT; the total then shows each rate on its own line before the grand total of £293.20 net, £45.79 VAT and £338.99 gross.
Is what I type sent anywhere?
No. The calculation runs in this page as you type.
